Translate text in a different language in Office 2010

You can translate text written in a different language, such as phrases or paragraphs, individual words (by using the Mini Translator), or translate your whole file with Microsoft Office "14". To translate text from certain languages into other languages, you might also have to satisfy the operating system requirements for specific languages.

Note The Translate command is only available in the following Microsoft Office programs: Excel, OneNote, Outlook, PowerPoint, Publisher, Visio, and Word.

You can also create a document in one language, and then use a machine translation service to translate it to a different language. For more information, see Translate a whole file. You can also add the Microsoft Translation machine translation service and have more translation service options.

What do you want to do?


Translate a whole file

You can have a whole file translated by a computer and displayed in an Internet browser. When you choose this kind of translation, the content in your file is sent over the Internet to a service provider.

Note Machine translation is helpful for conveying the basic subject matter of the content and for confirming whether the content is relevant to you. For important or sensitive files, human translation is recommended, because machine translation might not preserve the full meaning and tone of the text.

  1. In the file that you want translated, on the Review tab, in the Language group, click Translate.
  2. In the Translation Language Options dialog box, click Translate Document or Translate Item in Outlook, and then click the From and To languages that you want.
  3. In the Translate Whole Document dialog box, click Send.

A browser instance opens with the text translated into the language that you selected.

To see a side-by-side translation comparison of a whole file, use the Microsoft Translation machine translation service to translate your text. For more information, see Add translation language services.

Note If this is the first time you have used translation services, click OK to install the bilingual dictionaries and enable the translation service through the Research pane.


Translate selected text

You can translate a phrase, sentence, or paragraph into several selected language pairs in the following Microsoft Office programs: Excel, OneNote, Outlook, PowerPoint, Publisher, Visio, and Word. The translations are shown in the Research pane unless you use the Mini Translator.

  1. In the Research pane, in the All Reference Books list, click Translation.

  1. Do one of the following:
    • To translate a specific word, press ALT, and then click a word. The results appear in the Research pane under Translation. If you have the Mini Translator turned on, you can also point to the word that you want translated and the Mini Translator displays the translation. For more information about the Mini Translator, see See translations with the Mini Translator.
    • To translate a short phrase, select the words, press ALT, and then click the selection. The results appear in the Research pane under Translation.
    • To translate a word or phrase, type the word or phrase in the Search for box, and then click Start Searching Button image.

Notes

  • If this is the first time you have used translation services, click OK to install the bilingual dictionaries and enable the translation service through the Research pane.
  • To change the languages that are used for translation, in the Research pane, under Translation, select the languages that you want to translate from and to. For example, to translate English to French, click English (U.S.) in the From list and French (France) in the To list.
  • To customize which resources are used for translation, click Translation options, and then select the options that you want.


See translations with the Mini Translator

The Mini Translator displays the translation of one word as you point at it with your cursor. You can also copy the translated text to the Clipboard, paste it into another document, or play a pronunciation of the translated word.

  • On the Review tab, in the Language group, click Translate, and then click Mini Translator.
  • Point to a word or phrase that you want translated with your mouse.

If the Mini Translator is not turned on Mini Translator command turned on, click the Mini Translator button to turn it on. For more information, see See translations with the Mini Translator.

Excel

  1. On the Review tab, in the Language group, click Translate .
  2. Follow the steps in Translate selected text.


OneNote

  1. On the Review tab, in the Language group, click Translate OneNote Translate command.
  2. Follow the steps in Translate selected text, Translate a whole file, or See translations with the Mini Translator.


Outlook

You can translate text in an e-mail message that you received in either the message body or in the Reading Pane. You can also use the Translate feature when you create an e-mail message.

Messages that you receive

  1. In an e-mail message that you received, select the text in the message body, right-click the selected text, and then click Translate on the shortcut menu.
  2. Follow the steps in Translate selected text, Translate a whole file, or See translations with the Mini Translator.

Messages that you create

  1. When creating an e-mail message, select the text in the message body, and then on the Review tab, in the Language group, click TranslateOutlook Translate command.
  2. Follow the steps in Translate selected text or See translations with the Mini Translator.


PowerPoint

Note Only one slide's text box can be translated at a time.

  1. On the Review tab, in the Language group, click Translate PowerPointTranslate command.
  2. Follow the steps in Translate selected text or See translations with the Mini Translator.


Publisher

  1. On the Review tab, in the Language group, click TranslatePublisher Translate command.
  2. Follow the steps in Translate selected text.


Visio

  1. On the Review tab, in the Language group, click Translate Visio Translate command.
  2. Follow the steps in Translate selected text.


Word

  1. On the Review tab, click Translate Word Translate command.

Tip You can right-click anywhere in the document, and then click Translate on the shortcut menu.

Add translation language services

If the language that you need is not in listed in the Research pane or in the translation tool that you are using, this might be because language pairs have not been selected in the Research pane, or you need to install a language pack or language interface pack on your computer. To check which language packs are installed see Determine if you need a language pack.

Add more translation language pairs

Translation language pairs are sets of language, such as Japanese to English (U.S.), that you can translate text to and from.

  1. On the Review tab, in the Proofing group, click Research.
  2. In the Research pane, under the Search for text box, select Translation, and then click Translation options.
  3. In the Translation options dialog box, make sure that the language pairs that you want are selected for both the Bilingual dictionary and Machine translation sections.

If the language pairs that you want are not listed in the Language Options dialog box, you might want to download the Microsoft Translator machine translation service.

Add the Microsoft Translator machine translation service

The Microsoft Translator translates words and sentences and shows you the results in the Research pane. However when you translate a whole document, the original text displays in a side-by-side comparison with the translated text in a single Web browser.

Downloading the Microsoft Translator makes it the preferred translation service for the language pairs that it translates. But you can easily change the translation service by making another selection from the Translation Options dialog box.

  1. Go to the Microsoft Translatordownload page and compare the system requirements to your computer. If your computer meets the minimum requirements, click Download.
  2. Follow the installation instructions.
  3. Use the Microsoft Translator machine translation service as you would normally use the Research pane translation features.

To change the translation service

  1. On the Review tab, in the Proofing group, click Research.
  2. In the Research pane, under the Search for text box, select Translation, and then click Translation options.
  3. In the Translation options dialog box, under Machine translation, scroll to the right of the language pair, for example, French (France) to German (Germany), and then select the service that you want.
