How to Print PowerPoint Notes?

You can print presentation notes pages for your own use when delivering a presentation, or to include as handouts for your audience. You can design and format notes pages with colors, shapes, charts, and layout options.

From PowerPoint, you can print notes in Speaker Notes format, that is, each printed notes page includes a copy of the slide it refers to with the associated notes printed under the slide.

  1. Open the presentation that has the notes pages you want to print.
  2. On the File menu, click Print Preview.
  3. On the Print Preview toolbar, in the Print What box, click Notes Pages.
  4. To specify the page orientation, on the Print Preview toolbar, click Portrait or Landscape .
  5. To set headers and footers, on the Print Preview toolbar, click Options, and then click Header and Footer.
  6. On the Print Preview toolbar, click Print.

  • By default, PowerPoint is set to print presentation slides in color. However, on a per-document basis, you can change the default print settings to print notes. To change the printer settings to print notes by default, change do the following:
    1. On the Tools menu, click Options.
    2. Click the Print tab.
    3. Under Default print settings for this document, click Use the following print settings.
    4. In the Print what box, click the down arrow and click Notes Pages.
    5. Set the properties for the notes pages.

NOTES

  • Headers and footers on the notes pages are separate from the headers and footers on the slides. Note that choices you make for headers and footers on your notes pages also apply to your handouts. If you need your notes and handouts to have differently formatted headers and footers, you can print the handouts first, then adjust the settings and print the notes.
  • Hidden slides with notes in your presentation print along with the others, so it's a good idea to sort them out of your printed stack before you deliver your presentation, so you don't get out of sync with your audience.
